Executive Assistant


Our UK based client is looking for a Executive Virtual Assistant to provide high-level administrative support to executives by helping them manage their schedules, tasks, and responsibilities. The role requires a combination of organizational, communication, and multitasking skills. The ideal candidate must be adaptable, highly organized, and capable of managing multiple tasks simultaneously while maintaining a high level of professionalism and confidentiality.

This is a remote position open to those living anywhere in South Africa.

Duties & Responsibilities

  • Diary, Calendar and Itinerary management for senior executives
  • Daily correspondence for executives, including but not limited to email and telephone handling
  • Invoice and contract preparation and distribution
  • Basic bookkeeping tasks e.g company expenses
  • Ensure internal processes and systems operate smoothly and efficiently
  • Coordinate with the client engagement and external events teams to align activities and initiatives
  • Accommodation and venue booking and management
  • Coordinate with client engagement and external events teams
  • Event management e.g sending out invites and handling all RSVP’s and guest special requirements

Skills, Experience & Requirements

  • Proven experience as an Executive Assistant
  • Experience working in a fast-paced, high-touch client-focused environment
  • Background in financial services or related industries is a plus
  • Experience managing multiple executives’ schedules and tasks simultaneously
  • Exceptional organizational skills, with the ability to manage multiple tasks, prioritize effectively, and maintain attention to detail
  • Excellent written and verbal communication skills, with perfect spelling and grammar
  • Technical proficiency in Hubspot (newsletter creation, understanding marketing dashboards), QuickBooks (basic bookkeeping), PowerPoint (presentation creation/editing), Canva, and video editing tools (YouTube/Vimeo)
  • Strong time management skills, with the ability to manage and coordinate busy schedules
  • Proactive problem-solving approach, with the ability to identify and resolve issues efficiently
  • Ability to handle sensitive information with discretion and professionalism
  • Experience in event coordination, including booking venues, managing resources, and handling invitations
  • Relevant educational background preferred (e.g., degree in business administration, finance, or a related field)
  • Professional certifications related to administrative support or financial services are a plus
  • Highly organized and detail-oriented, comfortable working closely with senior executives
  • Proactive and energetic self-starter, able to thrive in a high-pressure environment
  • Commitment to maintaining high standards in all tasks
  • Flexibility and adaptability to changing priorities and demands
