Practice Operations Administrator

Our client is a trusted and experienced accounting firm who cater for accounting services to businesses across the United Kingdom. They specialise in providing live accounting and board-level support to businesses. They are looking for a Practice Operations Manager to join their team.

This is a remote position open to those living anywhere in South Africa.

Duties & Responsibilities

  • To manage the administrative workings of the practice
  • Receive calls for the practice during office hours (UK time) (4-5 per day)
  • Practice bookkeeping (No experience required)
  • Making payments for the practice
  • Handling staff expenses
  • Monitoring group email addresses
  • Maintain static data in our CRM systems
  • Maintenance and adhoc updates to the Practice Management tool (Karbon)
  • Helping the Team be organised and promoting systemisation of the practice
  • Employee onboarding
  • Credit control (Calling clients)
  • Run the monthly billing process
  • Oversight of daily tasks and jobs and hold team accountable (data from Practice Manager tool)
  • Produce practice KPIs and stats showing work completion and general practice performance
  • Keep track of computer kit across the team
  • Manage employee and client satisfaction surveys
  • Coordination of year end appraisal process
  • Booking team events, Christmas party etc
  • Administrative support as and when required
  • Client onboarding administration (professional clearance and handover docs)
  • Anti–money laundering and compliance oversight
  • Prospective client research
  • Confirmation statements (non-complex)
  • Other simple company secretarial tasks
  • Chase clients for missing information preventing completion of work
  • Sending out completed work to clients for approval
  • Timely updating of the company’s bookkeeping records
  • Successful completion of the above tasks

Skills, Experience & Requirements

  • Experience as an executive assistant or within an operations team lead
  • Professional approach
  • Excellent organisation skills
  • Strong communication skills
  • Proficient in Excel and Microsoft software
  • Problem solving
  • Tech savvy
