They are now seeking a highly organised and proactive Personal Assistant to provide professional and personal support to the Managing Director. This is a varied and fast-paced role that requires a resourceful, detail-oriented, and dependable individual who can manage multiple priorities effectively while maintaining discretion and professionalism.
This is a remote position open to those living anywhere in South Africa.
Duties & Responsibilities
- Provide full administrative and organisational support to the Managing Director, managing daily schedules, appointments, and communications.
- Oversee email inboxes, take messages, and respond to general enquiries professionally and promptly.
- Support business development and sales functions – logging new enquiries, producing proposals, coordinating follow-ups, and maintaining CRM data.
- Assist with project documentation, including technical submissions, design coordination, and progress tracking.
- Support marketing and design initiatives – review and edit materials, research emerging technologies, and help manage company communications.
- Manage document control and design communication processes between internal teams and clients.
- Record and manage meeting notes, tasks, and action lists using the company’s management system.
- Handle confidential personal matters such as household arrangements, travel bookings, and appointments for the MD.
- Contribute to the overall operational efficiency of the business by proactively identifying and resolving issues.
Skills, Experience & Requirements
- Minimum 3–5 years’ experience as a Personal Assistant or Executive Assistant, ideally within the construction, design, or commercial industries.
- Proven experience supporting a senior executive or director across a wide range of professional and personal responsibilities.
- Strong administrative and coordination skills with exceptional attention to detail.
- Excellent communication skills – both written and verbal – with a professional, polished approach.
- Highly organised with the ability to multitask and prioritise effectively in a fast-paced environment.
- Strong IT literacy across Google Workspace, Microsoft Office, and CRM systems.
- Ability to maintain discretion and confidentiality at all times.
- A proactive, problem-solving mindset and a can-do attitude.
