Our UK Based client has a global client base consisting of a sophisticated C-Suite audience primarily in financial services. They are seeking an experienced Executive Assistant to assist both senior executives. The right person for this role will be a confident, organised, proactive and energetic self-starter who takes pride in their work and enjoys working to a high standard. The ideal candidate has HubSpot skills and some Quick Books experience
This is a remote position open to those living anywhere in South Africa.
Duties & Responsibilities
- Provide general administrative support to the team, including scheduling meetings, managing calendars, and organizing travel arrangements
- Maintain correspondence for the executives, ensuring clear and professional communication
- Prepare and manage invoices and contracts
- Perform basic bookkeeping tasks, including expense management, and liaise with the tax preparer and external accountant
- Ensure smooth operation of internal processes and systems
- Coordinate with client engagement and external events teams to support initiatives
- Book event spaces and resources, and manage invitation lists for events
Skills, Experience & Requirements
- 3 years of experience as a Virtual Assistant or Executive Assistant
- Proficiency in diary, email, and calendar management
- Exceptional written and verbal communication skills with perfect English spelling and grammar
- Experience with QuickBooks for financial tracking and reporting
- Familiarity with HubSpot for creating newsletters and analyzing marketing dashboards
- Advanced skills in PowerPoint for presentation creation and editing
- Expertise in Canva for graphic design tasks and video editing (YouTube/Vimeo)
- Strong organizational and multitasking abilities
- Exceptional attention to detail and a focus on accuracy and precision
- Ability to work independently, manage time effectively, and meet deadlines
- Experience with task management tools (e.g., Trello, Asana)
- Proficiency with virtual meeting platforms (e.g., Zoom, Microsoft Teams)
- A customer-centric mindset with excellent customer service skills
- High standards of integrity, confidentiality, and professionalism
