Description
Our UK-based client is seeking a highly organized and adaptable Office Manager to oversee and manage business operations, ensuring efficiency and productivity. The ideal candidate will provide high-level administrative support to senior executives by managing schedules, tasks, and responsibilities while maintaining a high level of professionalism and confidentiality.
This is a remote position open to those living anywhere in South Africa.
Duties & Responsibilities
- Develop and implement business strategies and plans
- Oversee financial planning, budgeting, and basic bookkeeping
- Streamline and optimize internal processes for operational efficiency
- Manage company expenses and financial reporting
- Coordinate with various teams to align activities and initiatives
- Handle invoice and contract preparation and distribution
- Ensure compliance with company policies and regulatory requirements
- Manage senior executives’ diaries, calendars, and itineraries
- Handle daily correspondence, including email and telephone communication
- Book accommodations and venues for executive travel and events
- Coordinate event management, including sending invites and handling RSVPs
- Assist in client engagement and external events coordination
Skills, Experience & Requirements
- Experience in a fast-paced, client-focused environment
- Background in financial services or related industries is a plus
- Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively
- Excellent written and verbal communication skills, with perfect spelling and grammar
- Technical proficiency in Hubspot, QuickBooks, PowerPoint, Canva, and video editing tools (YouTube/Vimeo)
- Strong time management skills and the ability to manage busy schedules
- Proactive problem-solving approach with the ability to identify and resolve issues efficiently
- Ability to handle sensitive information with discretion and professionalism
- Experience in event coordination, including booking venues and managing resources
- Professional certifications related to business management or financial services are a plus
- Highly organized, detail-oriented, and comfortable working closely with senior executives
- Proactive and energetic self-starter, able to thrive in a high-pressure environment
- Flexibility and adaptability to changing priorities and demand
